Preliminary investigation report/systems requirements

Information Technology Capstone
First Draft

Introduction
Information systems have become a very important components of organizations. With the need to have automation of business processes, there has been the need to have investigations and an understanding of the users and what features they would like to be integrated in the human resource information system (Satzinger, Jackson, & Burd, 2011). This paper will focus on systems requirements for human resource information system. It is an information system that will be useful in managing the affairs of the human resource component of an organization.
Preliminary investigative report
Introduction
This paper will present the requirements and the need to have a human resource information system in the organization. It will detail what will be required and the costs that will be met after all the costs have been met.
Systems request summary
The human resource information system will be used to manage the human resource component of an information system. The entire human resource business processes will be managed through the use of information system. The human resource information system will be used to manage employee recruitment, payments, work profiles, and billing. The human resource business process will be managed in an automated process (Dennis, Wixom, & Roth, 2012).
The major problem with the current business operations in ABC Organization is that all the processes that involve human resource in the company are done manually. There is lack of efficiency and reliability with the use of the system. The staff who are working on the human resource part of the company are exhausted and are not as efficient as they would be with the use of human resource information system. Another problem is the performance of individual employees. It will be difficult to assess the performance of individual employees within the organization. It will have to have monitoring of a single employee. The performance of the human resource component will be hard to achieve.
Preliminary investigative findings
The human resource information system will be used to manage the human resource component and all the issues that are used to manage this component. After an investigation on the human resource component in ABC organization, it is clear that most of the staff records are held in files that are stored in cabinets. There is no system that has been installed in the organization to be used by the management. It is also difficult to share data that regard employees. When the senior management want to go through the records of a staff member, they have to order for the file of that client to get the needed information. It will be beneficial to have an information system that will be shared across the organization which will allow authorized personnel to have the required personnel information. It is also easier to have a backup of all the data that is available in an organization (Friedman, Kahn Jr, Borning, & Huldtgren, 2013).
An interview with the human resource manager shows that there is no system that has been there in organization. It shows that there is no automation that has been done to have the human resource component. Staff records are stored and accessed through the filing system. Management of staff records is a business process that is of great concern in information management and enhancement of the data and information system.

Recommendation
The recommendation that is given here is to have a human resource information system in the organization. It will enable the human resource personnel to manage the staff records.
Time and cost estimates
The entire time for the implementation of the system will be five months. The system will have to be developed from scratch. It will require an understanding of the user requirements.
The time table is as follows:
Task Time
Feasibility study 2 weeks
Requirements analysis 2 weeks
Coding of the system 3 months
Testing of the system 2 weeks
Deploying 1 week
Training 1 week
Total 5 months

The cost will be as follows:
Component Estimated Cost
Programmers $10000
Programming languages $1000
Project manager $2000
Training $500
Maintenance $500
Total $14000

Expected benefits
The
There benefits that will be obtained with the implementation of the system. The tangible benefits will include
Reduced costs of filing and cabinets. This will be a saving of $1000 per year. There will also the benefit of reduced staff who will have to work in other departments or laid down completely. This will be a saving of $5000 per year. The total saving that will be achieved with the implementation of the system is $6000 per year.
Some of intangible benefits include:
i. Increased efficiency in human resource system
ii. Reduced costs in human resource processes
iii. Increased reliability with the use of the system
Systems requirements
The system that will be installed in the company will have to meet some of the requirements so that it will be successful in the entire process.
Deliverable: The end product that will be achieved in the entire process is a working human resource information system which will be used in the organization. The system will be used to manage the human resource business processes. All the records of the staff and the profiles will be recorded and managed by the system (Völter et al., 2013).
Functional requirements
The functional requirements of the system include:
i. There will be a user interface that will be used to enter the data to the system. The user interface will be the interface that the staff members will use to interact with the system. It should be simple and easy-to-use
ii. There will be a database which will be used to store the staff data. The database will also enable the various components in the system to connect with one another.
iii. There will also be a web-based system that will be used to connect the system over the internet (Snell, Morris, & Bohlander, 2015). With the trend that is seen in the world where information systems are being shifted to web-based processes, it is important to understand the needs to have these issues covered. It will enable systems to be accessible and managed with the use of information systems in the entire process.
Non-functional requirements
Some of the non-functional requirements that will be required with the use of the system include:
i. Reliability and efficiency. The system should be reliable and efficient with its use. It will enable the users to have efficiency and will have faster access.
ii. The system should be secure. The system should be able to protect employee data from being accessed by unauthorized personnel and staff. It is a significant issue of concern that should be achieved with the implementation of the system.
Conclusion
Information systems should be adopted in the organization. The use of an information system in this regard will enable users to have reliable information access and efficiency in business operations.
