There are different ways of presenting information to the audiences used by different people all due to the advancement of software technology. These softwares however have different attributes that make them preferable to certain audience and not others.  For the sake of ensuring that information is relayed in a good way to foster understanding, it is appropriate to choose the best software or programs to use. This paper focuses on the reasons why PowerPoint presentation is essential program to present information on anticipated equipment upgrade to the audience compared to other methods or software such as prezi.

Upgrading of equipment is an issue that concerns various stakeholders and is this makes it a very essential process. Because of this, all stakeholders should be well informed.  In upgrading the equipment, it means that money will be used to ensure this becomes a reality. It will also affect the efficiency and the service delivery of the organization, jobs, productivity, income and corporate finances. It is therefore prudent to ensure that the respective parties are well informed.

Both PowerPoint and prezi are tools that can be used to present information to the public. They have all the capabilities and features that make them appropriate for presenting information. Regardless of these tools being able to present information, the most preferred tool is PowerPoint.

One of the reasons why PowerPoint is preferred is that it is easy and most useful and accessible ways of creating and presenting visuals. The audiences will be able to gain a deeper understanding of the workings of the new equipment easily through PowerPoint (Dubas & Hill, 2013).  It is also easy to create and therefore, it means that it can be done within a short period compared to prezi.  Furthermore, it has beautiful presentations or attractive designs that help to enhance the delivery of the message. Standard templates and theme in the program easily create these designs, is also easy to modify through changes and dragging compared to other method of presentation such as prezi.

Another important reason why using PowerPoint is preferred to addressing large audience is that it is easy to use to present information while maintaining an eye contact with the audience through advancing the slides with keystroke (Murley, 2007). In communicating, maintaining good eye contact is essential in enhancing understanding among the audience. The audiences will be able to pay attention to the issues being discussed and this will help to ensure that the objectives of the presentation are achieved. The new upgrade is an issue that concerns the stakeholder and the company and therefore making sure that the audience understands every bit of the presentation is fundamental and can be achieved effectively through PowerPoint presentation.  For instance, the upgrade will lead to job cuts and this must be well explained on the measures that are underway to alleviate any conflict. It will also help to improve productivity and reduce wastage in the organization, issues that should be clearly explained.

A  PowerPoint presentation is much effective when addressing a larger audience. The only thing required is a computer and a projector that displays the slides to the audiences.  Therefore, it is very effective as people that may not be near the slide will be able to see the messages or the slides better.  This therefore makes it a preferable tool to use to relay the message to the audience. It is also important to state that using PowerPoint will allow me to simplify some complex aspects in the presentation to enhance understanding. Message are simplified and shortened   to be able to enhance the level of understanding (Sugahara & Boland, 2006). Audiences will be able to follow and understand the presentations much easier because of the simplification.

PowerPoint is not a complex way of presentation. The cost of training people on how to use presentation is much low and this makes it a better tool as it helps in saving cost that goes into training. Using other tools of presentations such as prezi is a little bit complex (Zoltan, 2012). It is also a little bit costly, as it requires the user to purchase a license to be granted the opportunity to use it. It uses cloud technology and accessed through online and this means that for the user to be acquainted to how it operates it requires much deeper training.

PowerPoint is also preferred because contents easily visible and therefore there may be no need to issue handouts to the audiences hence, saving on cost. The slides are clear, visible, and easily understood by the audience, which makes it one of the cost effective way of conveying information to the audiences.

I would therefore use PowerPoint presentation as opposed to other software such as prezi solely on the benefits or rather advantages that PowerPoint has. As discussed above, PowerPoint is easy to use, cost effective, is suitable to use for larger audience with assistance of projectors and it enhances the delivery of message through eye contact. The new equipment upgrading therefore will be highly understood by different parties and stakeholders by using PowerPoint presentation. The needs and interests of the stakeholders and the expected outcomes on the upgrade are essential and should be well conveyed to the audiences. The best option for this is using PowerPoint.
